About Role

The Sales Operations Specialist owns the end-to-end operational infrastructure supporting the Global Sales Organization — from CRM systems and data to commercial contracts, pricing, compensation, and enablement. This role ensures sales has accurate systems, reliable data, sound commercial terms, and the tools and training to execute effectively, while partnering closely with sales leadership, finance, legal, and IT.

This role will support all sales teams across regions (NA & EMEA) and is expected to operate with a high degree of independence across commercial, technical, and analytical work.

This role reports to the Sales Operations Director.

Core Areas of Responsibility

1. CRM and Sales Systems Administration

Own functional, day-to-day business administration of HubSpot and other assigned sales tools.

  • Own business-related CRM configuration, including properties, pipelines, lifecycle stages, views, lists, workflows, permissions, and user settings.
  • Serve as the primary point of contact for sales users on system functionality and troubleshoot business-process-related issues.
  • Coordinate with IT on technical infrastructure activities — user provisioning and deprovisioning, licenses, billing, and security.
  • Support consistent, standardized use of sales systems across teams and regions.

2. Data Governance and CRM Data Quality

  • Establish and maintain standards for contact, company, lead, and deal data.
  • Review data quality issues involving ownership, lifecycle stages, territories, sources, duplicates, missing information, and inconsistent field usage.
  • Define validation rules, workflows, documentation, and governance processes to reduce recurring data issues.
  • Ensure CRM data remains reliable for Sales activities, reporting, forecasting, and decision-making.

3. Contract Review and Commercial Negotiation

Support the end-to-end contract lifecycle for Sales agreements, partnering closely with Legal and Finance.

  • Review and redline customer contracts (MSAs, Order Forms, SOWs) for commercial and operational terms.
  • Coordinate contract negotiations across Sales, Legal, Finance, and customers, tracking redlines and open issues to closure.
  • Maintain a contract tracker covering key terms — fees, renewal dates, cancellation provisions, price adjustment mechanisms, and currency — across the active client base.
  • Flag commercial or legal risk in proposed terms for review by Legal or leadership.

4. Pricing Strategy and Revenue Recognition Support

  • Support pricing structure and standalone selling price (SSP) methodology in partnership with Finance.
  • Provide pricing and deal structure guidance to Sales during the negotiation process, consistent with approved frameworks.
  • Partner with Finance on revenue recognition treatment for new deal structures, bundles, and non-standard terms.
  • Maintain documentation of pricing rules, discount guardrails, and approval thresholds.

5. Sales Compensation and Commissions

  • Support design, documentation, and administration of the annual Sales Commission Plan.
  • Calculate or validate commission payouts in line with plan rules, escalating exceptions or disputes appropriately.
  • Maintain clear, current documentation of commission plan rules, including treatment of renewals, co-terming, and edge cases.
  • Partner with Finance and Sales leadership on plan updates and annual plan design.

6. Process Improvement and Automation

  • Investigate recurring operational issues and recommend configuration or process changes to prevent them.
  • Build and maintain workflows and automation that reduce manual work and improve data consistency.
  • Support integrations and data flows between HubSpot, enrichment platforms, automation tools, and other Sales systems.

7. Reporting and Operational Analysis

  • Create, maintain, and validate recurring sales and operational reports and dashboards.
  • Support reporting on pipeline, sales activity, deal stages, close dates, forecasts, and data quality.
  • Investigate reporting discrepancies and identify the underlying data or configuration issues.
  • Support finance, sales leadership, and other stakeholders with reliable CRM-based reporting.

8. Sales Enablement

  • Prepare and maintain user guidance, process documentation, and training materials for CRM and Sales tool usage.
  • Support onboarding and offboarding processes relating to sales systems and CRM usage.
  • Help drive adoption of agreed CRM processes, data standards, and sales methodology (e.g., MEDDPICC) across the Sales team.
  • Deliver internal training sessions and communications on system changes, new workflows, contract processes, and compensation plan updates.

9. Vendor and Sales Tool Evaluation

  • Evaluate sales and marketing tools for fit, redundancy, cost, and migration risk.
  • Maintain visibility into the current sales tool stack and recommend consolidation or replacement where appropriate.
  • Support vendor selection processes, including trials, stakeholder feedback, and comparison documentation.
  • Coordinate with IT and Finance on tool procurement, licensing, and renewal decisions.

10. Cross-Functional Collaboration

  • Work closely with Sales leadership, Finance, Legal, Marketing, and IT to translate business requirements into commercial terms, CRM configurations, and processes.
  • Provide visibility into commercial risk, system risk, data quality issues, and process gaps.
  • Partner with leadership on ad hoc reporting and analysis to support board and executive decision-making.

  • Sales and Marketing enrichment/sequencing tools (e.g., LinkedIn Sales Navigator, Apollo, Cognism)

Ideal Background

  • Experience owning CRM administration (HubSpot or comparable) in a B2B sales organization.
  • Experience reviewing and negotiating commercial contracts (MSAs, SOWs, Order Forms), ideally with exposure to SaaS or subscription-based revenue models.
  • Familiarity with revenue recognition concepts (e.g., ASC 606) and standalone selling price methodology, or strong aptitude to learn.
  • Experience supporting or administering sales compensation/commission plans.
  • Strong cross-functional collaboration skills, with comfort operating across Sales, Finance, Legal, and IT.
